Set Up Folders
This SOP explains how to set up the customer folder structure for AM onboarding. CSM typically creates it before requesting uploads; CS Ops verifies it before execution.
Owner And Purpose
- Owner: CSM
- Purpose: Create one standardized onboarding workspace before requesting customer uploads.
- CS Ops role: Verify this structure before execution and request correction if anything is missing.
When To Use This
- For every new AM customer onboarding before sending the intake/upload request.
- When a customer onboarding folder must be recreated due to missing or broken structure.
Step 0: Find Or Copy The Template Workspace
- Go to: [\General\03_Sales\07_Customer Success\ONBOARDING\Onboarding Projects]
- Copy [TEMPLATE_ONBOARDING_Customer_Name] and rename it as: [ONBOARDING_Customer_Name] replace [Customer_Name] with the actual customer.
- If [ONBOARDING_Customer_Name] folder exists from previous calibrations/onboardings for this customer, add a number to the end so that the new folder is: [ONBOARDING_Customer_Name_02]
Example:
ONBOARDING_Acme_Inc exists already so the current folder should be called ONBOARDING_Acme_Inc_02
- If the copied template is complete, continue to Step 7.
Caution
- The base location is fixed and mandatory: [\General\03_Sales\07_Customer Success\ONBOARDING\Onboarding Projects].
- If link sharing for [Customer_Upload] is blocked, CSM must resolve it with IT/Cybersecurity before intake starts.
Critical note for CS Ops, if you are on this page: If there are than one material/machine/parameter set to be calibrated, make a copy of the whole [ONBOARDING_Customer_Name] for each calibration requirement.
Rename the copy of the folder to [ONBOARDING_Customer_Name_number] e.g. [ONBOARDING_Acme_Inc], [ONBOARDING_Acme_Inc_02], [ONBOARDING_Acme_Inc_03]etc.
Then follow the CS Ops Runbook for each of these folders separately.
You should know how many material/machine/parameter sets must be calibrated if both these points are true:
- CSM informed you what must be calibrated
- Customer uploaded more than one Spreadsheet for various material/machine/parameter options.
Step 1: Create The Two Top-Level Folders
Steps 1 - 6 are only relevant if you could not locate the template folder.
Create these two folders:
- [Customer_Upload] (shared with customer)
- [CS_Internal] (never shared with customer)
Rules
- Only share a link to [Customer_Upload] with the customer.
- Never share [CS_Internal].
- [Customer_Upload] is the only shared link for this onboarding.
Step 2: Create [Customer_Upload] Subfolders
Inside [Customer_Upload], create:
- [01_Spreadsheet]
- [02_Slicer_Project]
- [03_Example_Parts_Optional]
- [04_Other]
Step 3: Place Standard Customer Files In [Customer_Upload]
In [Customer_Upload] root, add:
- [README.txt]
In [Customer_Upload/01_Spreadsheet], add:
- Current process chain and costs spreadsheet template
Rule
- Customer inputs must come through this folder structure. Avoid email attachments.
Step 4: Create [CS_Internal] Subfolders
Inside [CS_Internal], create:
- [Calibration_Run]
- [Validation_Run]
- [Evidence]
Step 5: Create [Calibration_Run] Structure
Inside [CS_Internal/Calibration_Run], create:
- [Calibration_CAD]
- [Calibration_Build_Projects]
- [Calibration_Gcode]
- [Evidence]
Step 6: Create [Validation_Run] Structure
Inside [CS_Internal/Validation_Run], create:
- [Validation_CAD]
- [Validation_Build_Projects]
- [Validation_Gcode]
- [Evidence]
Step 7: Confirm Storage And Handover Rules
Rules
- Customer uploads go to [Customer_Upload] only.
- CS Ops execution artifacts go to [CS_Internal] only.
- Evidence for CSM review goes to [CS_Internal/Evidence].
Practical interpretation
- Slicer exports, G-code, extractor sheets, validation outputs, screenshots, and notes belong in [CS_Internal].
- If any file must be shared outward, CSM decides and copies only the specific file to [Customer_Upload].
Completion Criteria
You are done when:
- [Customer_Upload] exists with all four required subfolders.
- [README.txt] exists in [Customer_Upload] root.
- The spreadsheet template exists in [Customer_Upload/01_Spreadsheet].
- [CS_Internal] exists with [Calibration_Run], [Validation_Run], and [Evidence].
- [Calibration_Run] and [Validation_Run] contain their required subfolders.
- CS Ops starts execution only after CSM confirms the workspace is complete, customer link is shared, and customer shared all required information in their folder.
